This Privacy Policy explains how Brass Lantern Studios Ltd, a company registered in England and Wales (company number 17208101) (“Pressroom”, “we”, “us”), collects and uses personal data when you use Pressroom (the “Service”). We are the data controller for the personal data described here. We comply with the UK GDPR and the Data Protection Act 2018.
1. Data we collect
- Account data — your name, email address, organisation and sign-in details.
- Content and usage data — the prospects, proposals, articles, schedules and other content you create or upload, and how you interact with the Service.
- Billing data — subscription and payment information, processed by our payment provider (we do not store full card numbers).
- Technical data — IP address, device and browser information, and log data collected automatically when you use the Service.
2. How we use your data
We use personal data to:
- provide, operate, secure and improve the Service;
- authenticate users and manage accounts and subscriptions;
- process payments and send service-related communications;
- provide support and respond to your requests; and
- comply with our legal obligations.
3. Legal bases
We process personal data where it is necessary to perform our contract with you, where we have a legitimate interest in operating and improving the Service, where we have your consent, and where we are required to by law.
4. AI processing
Some features send your content to third-party AI providers to generate research and drafts. These providers process the data on our behalf to return output and do not use it to train their models without appropriate safeguards.
5. Sharing your data
We do not sell your personal data. We share it only with service providers that help us run the Service — for example cloud hosting, database, payment, email and AI providers — under contracts that protect your data, and where required by law or to protect our rights.
6. Connected social accounts (including Instagram)
When you connect a social account — such as an Instagram professional account via Instagram Business Login — Pressroom receives and stores an access token, your account id and username. We use these solely to display your connected account and to publish the organic posts you schedule to your own account. For Instagram we do not access your followers, insights or direct messages.
You can disconnect at any time from Settings → Integrations, or by removing Pressroom in your Instagram settings; either action causes us to delete the stored access token and deactivate the connection. 7. International transfers
Some of our providers are based outside the UK. Where personal data is transferred internationally, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or equivalent mechanisms.
8. Retention
We keep personal data for as long as your account is active and for as long afterwards as needed to provide the Service, comply with our legal obligations, resolve disputes and enforce our agreements. You can request deletion as described below.
9. Your rights
Subject to applicable law, you have the right to access, correct, delete or restrict the processing of your personal data, to object to processing, to data portability, and to withdraw consent. To exercise these rights, contact us using the details below. You also have the right to complain to the UK Information Commissioner's Office (ICO).
10. Security
We use technical and organisational measures to protect personal data, including encryption in transit, access controls and tenant isolation. No system is completely secure, but we work to protect your information.
11. Cookies
We use essential cookies to keep you signed in and to operate the Service. We may use limited analytics to understand usage and improve the Service.
12. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes we will take reasonable steps to notify you, and the “last updated” date above will change.
